Events Operations Manager

The ideal candidate for our Business Development Representative position is highly driven, passionate and an ethical professional who puts their client’s success as their top priority. This position will leverage current relationships and uncover new business leads with the goal of selling our event management services. Recognizing where our clients and potential clients will have a need for our services is also crucial to the success of this role.

This is a full-time position that includes a base salary to begin, full benefits, and above industry standard commissions. Commissions are based on, but not limited to: hotel procurement contracts, talent buying, food/beverage management, production, event design and fabrication, travel coordination, and conference registration. The commission is not capped, so the sky is the limit on your earning potential!

Primary responsibilities include but are not limited to:

  • Lead team creative sessions and develop overall creative design for assigned events
  • Work with fabrication and set design vendors to create exceptional custom experiences for the client
  • Confidently lead client communication on calls, in-person, and over email
  • Generate multiple concepts and storyboards for an event or project
  • Attend the daily AM huddle prepared with daily goals
  • Manage multiple projects from concept through completion for both large and small corporate and private events, most times simultaneously
  • Collaborate with internal teams on the development of vendor quotes, venue options, layouts, presentations, proposals and production timelines
  • Review final P&L statements and successfully apply them when closing out an event
  • Work successfully with the Encore Live team and other Event Coordinators to execute and manage event logistics
  • Collaborate with internal teams in calculating Encore Live quotes and budgets while ensuring that they are adhered to and invoiced correctly and timely
  • Draft event services agreements and share with the client after receiving Director approval
  • Coordinate and monitor project timelines to ensure deadlines and client expectations are met
  • Provide general office support including but not limited to answering phones, office maintenance, responding to emails, and preparation of events-related materials
  • Create run of show schedules, contact sheets, and travel itineraries for projects
  • Communicate and oversee our vendor partners throughout the planning process
  • Provide quality control over concepts and projects
  • Confirm production details of both large and small corporate and private events
  • Identifies and builds relationships with new and key vendors to strengthen services provided to clients
  • Participates in hiring process of coordinator level and below

  • Willing to travel and work remotely at times, working evenings and weekends as required
  • Able to remain calm under pressure/tight deadlines and to maintain a positive attitude is a MUST
  • Interested and passionate in learning and working in the events industry
  • Able to exert physical labor and event setup as required at times

Requirements:

  • Professional appearance
  • A thorough understanding of and experience in event creation, coordination, management, and production, as well as industry best practices
  • Knowledge of layouts and the ability to storyboard or translate ideas to clients and develop innovative solutions for world-class events
  • A strong working knowledge of experience design, brand development, and creative process
  • Preferred experience with software such as Social Tables, Cvent, Eventbrite, InDesign, Microsoft, and Office Products
  • Ability to make evaluative judgments and give candid feedback to teammates without damaging relationships
  • Ability to lift 30+lbs and can be on their feet for extended periods of time
